Frequently asked questions and blocking messages
Manual — Environment · chapter 11 of 11
The module blocks almost nothing: what it refuses is recording a fact without the proof the regulation requires. The table explains each message.| Message / situation | Why | What to do |
|---|---|---|
| Attach the evidence or describe it when marking the condition as Fulfilled | a fulfilled condition needs proof | attach the Evidence (file) or write the Evidence / note |
| Attach the proof or describe it when fulfilling a calendar obligation | RAPP, TCFA, DMR… are only marked as fulfilled with a filing number or receipt | attach the Proof (filing/receipt) or write the number in Proof / note |
| Enter the waiver reason | a “Waived” license must say why | fill in Waiver reason (e.g. activity not subject to licensing) |
| This site has licenses: delete or move the licenses first. | the site still has licenses | delete the licenses first or, to just take it out of use, edit it and set Active: No |
| For “disposed”, enter the CDF number | disposal is only proven by the CDF (PNRS) | fill in CDF number (and, if possible, attach the file); without a CDF, leave “MTR issued” or “Received at disposal facility” |
| There is already a draft PGRS for this site. | only one draft per site | open the existing draft in the PGRS tab and continue working on it |
| The site waste inventory is empty — register the waste before publishing the PGRS. | the published PGRS freezes the inventory | register the waste in the Inventory tab (active items) and publish again |
| Register your signature in My Profile before publishing / before concluding | whoever publishes the PGRS or concludes the incident signs with the registered signature | My Profile › Digital Signature; then repeat the action |
| Only the designated technical lead can publish and sign. / Only the designated responsible person can conclude and sign. | the document has a designated responsible person and you are not that person | ask the designated person to log in with their own user |
| Missing: causes (immediate/root), conclusions, notification to the agency (date/filing number) — or a justification when concluding the incident | concluding requires an investigation and, when required, the notification to the agency | use Edit / investigate and fill in what is missing; with no notification recorded, write the justification the system asks for |
| Record the evidence (text or file) when assessing a requirement | “Compliant” and “Partially compliant” need evidence | write the Evidence (text) or attach the Evidence (file) |
| Disposal requires the disposal facility (partner) or the document number. | recovered refrigerant only leaves with proven disposal | choose the Disposal facility or fill in Document (certificate / MTR) |
| Result recorded — NON-COMPLIANT (open a work order and link it) | the value exceeded the applied limit | open the corrective work order in H2O and click link work order on the result |
| Code … already exists when creating an own waste code | the code is already in the catalog | search for the code in the list and use it |
| Override factor button greyed out / Select an entity to override the factor | the override applies to one entity | choose the entity in the selector at the top of the screen |
| You do not have permission for this action | the profile does not have the required level (see chapter 1); Create ISO 14001 audit also requires Create in ISO Audit | ask the administrator to adjust the profile |
Frequently asked questions
Section titled “Frequently asked questions”- The license expired, but we filed for renewal. Click Edit on the license and record Renewal filed on and the Filing number: the status changes to “Renewal filed”, it stops being a pending issue and the expiry alerts stop (Law 15.190/2025).
- The license no longer needs to exist. Use Manual status: Closed (or Waived, with the reason) instead of deleting it: it leaves the pending issues and the history remains.
- I recorded the CDF on the shipment and it is still “MTR issued”. On editing, the status is whatever is in the Status field: change it to Disposed (CDF) and save.
- Why did the shipment become a pending issue? More than 30 days have passed since the Shipment date without a CDF. The ESG dashboard counts as “without CDF” every shipment in the period that has no CDF number, even within the 30 days.
- The monitoring result came out non-compliant. Click link work order on the result and enter the number of the corrective work order; the pending issue disappears and the history remains.
- Generate the year’s RAPP/TCFA did not create anything. That year’s obligations already existed in the entity (it does not create duplicates). For a specific site, use New obligation.
- The incident will not conclude. Causes, conclusions or the notification to the agency (or the justification) are missing; the person concluding must have a signature registered in My Profile.
- I need to correct a concluded incident. Click Reopen and enter the reason: the signature is invalidated, the incident goes back to “Under investigation” and can be edited and concluded again.
- How do I check the signature of a PGRS or an incident? With the code printed in the trail and on the PDF, in Occupational Safety › Verify signature (menu item unlocked by the APR right).
- The emission factor for my state/year is different. In the Emission factors tab, select the entity and use Override factor, entering the reference.
- FR/SR is marked as estimated. Enter the month’s HHT in Entries (bills / man-hours) with the type Man-hours worked.
- Who receives the alerts? The users with the Edit right in Environment and the administrators, by e-mail, through the rule “Meio ambiente: prazo próximo (licenças, condicionantes, obrigações)” — adjustable in System › Notifications.
